Who are we

Under GDPR (General Data Protection Regulations) the ‘Data controller’ is Dodman Ltd.  Dodman Ltd, registered address North Lynn Industrial Estate, Kings Lynn, Norfolk, PE30 2ND, UK

“Dodman” (known as ‘we’ or ‘us’ throughout this document) has associations with the following entities:

What information do we hold

The personal data that we hold for you may include:

• Company details – name, registered/trading and delivery addresses, address history, company registration details, VAT number, telephone numbers, email address(es) and website(s), social media accounts
• Company contacts – name, telephone numbers, email address(es)Company financial information, including bank details, credit referencing details and company management or financial accounts, social media accounts
• Identifiers assigned to your computer or other devices, including your Internet Protocol (IP) address
• When you contact us through any digital channel we will inform you of the methods used by each of those channels at point of entry and at any point where we capture personal information
• Company logos
• When you use our car parks and factory which have CCTV systems operated for the security of both visitors and employees these systems will record your image during your visit

CUSTOMERS

Gathering Information

We would gather your information:

• Directly on enquiry for goods or services via telephone or online
• Directly on placement of contractual order for goods or services via telephone, email or post
• Indirectly from 3rd parties on enquiry for goods or services via telephone or email on your behalf as is necessary for our legitimate interests
• At trade shows/exhibitions
• Digital channels – when you contact us through any digital channel we will inform you of the methods used by each of those channels at point of entry and at any point where we capture personal information.

How we use your information

Your information will be shared between the “Dodman” entities solely for the purpose of fulfilling contracts as is necessary for our legitimate interests.  This will include:

• Providing proposals
• Providing design services
• Manufacturing of equipment
• Providing Installation and commissioning services
• Providing after care service – protection plans, servicing, warranties

We may use your financial information in assessing financial risk for the purpose of offering credit facilities as is necessary for our legitimate interests.

We may use your IP addresses for:

• fraud prevention and to improve customer experience
• sector analysis and lead generation
• provide relevant information to you
• statistical purposes and improve website

We will communicate to you via:

• Direct mail
• Email marketing
• SMS
• Social media
• Other digital channels

We would like to send you information about products and services of ours which may be of interest to you. If you have consented to receive marketing, you may opt out at a later date. You have a right at any time to stop us from contacting you for marketing purposes or giving your information to other Dodman entities. If you no longer wish to be contacted for marketing purposes, please email elaine@dodman.com

Your information may be shared with 3rd parties where we are required to:

• provide a proposal for goods or services not manufactured or supplied by ‘Dodman’
• contractually obliged to provide goods or services not manufactured or supplied by ‘Dodman’
• satisfy our Financial or Legal obligations

We will never sell your information to 3rd parties.

How long will information be held

Your Data will be retained for the lifetime of the machine to ensure that Dodman have the information to satisfy future warranty and servicing requirements as is necessary for our legitimate interests.  Your data will be deleted only if we are notified that you are no longer the owner of Dodman equipment.

Digital analytics will not expire unless requested.

SUPPLIERS

Gathering information

We would gather your information:

• Invoices provided by you for goods and/or services

Your information will be shared between the “Dodman” entities solely for the purpose of fulfilling contracts as is necessary for our legitimate interests.  This will include:

• Providing proposals to customers
• Providing Installation and commissioning services
• Providing after care service – protection plans, servicing, warranties
• Purchasing of goods/services to satisfy company requirements

We may use your financial information in assessing financial risk for the purpose of releasing deposit stage payments as necessary for our legitimate interests.

We may use your IP addresses for fraud prevention and to improve customer experience.

Your information may be shared with 3rd parties where we are required to:

• provide a proposal for goods or services not manufactured or supplied by ‘Dodman’
• contractually obliged to provide goods or services not manufactured or supplied by ‘Dodman’
• satisfy our Financial or Legal obligations
• Other digital channels

How long will information be held

Our “legitimate interests” as referred to above (and below) include our legitimate business purposes and commercial interests in operating our business in a customer-focused, efficient and sustainable manner, in accordance with all applicable legal and regulatory requirements.

We would like to send you information about products and services of ours which may be of interest to you. If you have consented to receive marketing, you may opt out at a later date. You have a right at any time to stop us from contacting you for marketing purposes or giving your information to other Dodman entities. If you no longer wish to be contacted for marketing purposes, please email elaine@dodman.com
